How to compare a rental quote in Mumbai

A practical method for comparing the complete rental cost, conditions and handover across categories.

Start with one brief

Send each supplier the same dates, intended use, location, required quantity and specification. Include access and collection windows where these matter. For an event, separate the venue's equipment from what you need to rent. For a shoot, describe the complete camera, sound and lighting setup. For clothing, state size, occasion and fitting needs. For furniture or appliances, state the expected duration and delivery constraints. A shared brief makes differences between quotes easier to see.

Separate charges from refundable money

Record the rental charge and every additional cost separately: transport, setup, operator support, cleaning, accessories, collection and applicable taxes. Ask what is included rather than assuming a supplier will provide each service. Keep a refundable deposit in a separate column from the rental cost. Confirm when and how it is returned, what deductions may apply, and who decides the condition at return. Avoid treating two quotes as equivalent if one includes delivery or support and the other does not.

Check how the rental period is measured

Ask when the chargeable period starts and ends. Clarify whether pickup the evening before, an overnight stay, a weekend, or a late return changes the amount. A day, session or event can mean different windows to different suppliers. If your plan requires setup time or a backup day, put those dates and times in the enquiry. Ask about extensions before booking; do not assume an extra period will be available at the original rate.

Compare the actual specification

Use the item model, size, quantity or other meaningful specification, rather than a broad label such as premium kit or wedding decor. Check the accessories and service that make the item usable: chargers and compatible cables for equipment, installation for an appliance where needed, matching garment pieces for an outfit, or setup and collection for an event. Ask how substitutions are handled and whether they need your agreement.

Read cancellation and responsibility together

Request the supplier's written cancellation, rescheduling, late-return, missing-item and damage terms before paying. Ask what happens if the supplier cannot provide the agreed item. Confirm responsibility for testing, cleaning, transport and safe use. For equipment you do not know how to operate, discuss operator support or familiarisation with the supplier. Keep any instructions they provide; a general planning guide cannot establish the conditions of your booking.

Plan the handover

Keep an item-and-accessory checklist with the booking confirmation. At collection or delivery, check the agreed specification and record existing damage together. Agree the contact process for a mismatch or malfunction. At return, check quantities and condition with the supplier and retain the handover record. For a group event or shoot, nominate one person to coordinate the list, pickup and return.

A quote-comparison sheet you can copy

Use these headings for each supplier: requirement and specification; rental start and end; item charge; delivery and collection; setup or support; cleaning; other charges; refundable deposit; deposit refund process; cancellation or rescheduling; loss or damage responsibility; proposed substitutions; and written confirmation received. Mark unanswered points as pending and resolve them directly. Choose the complete arrangement that fits your plan.
