Catering equipment rental: prepare a clearer enquiry

Turn your menu, headcount, and serving plan into a rental list suppliers can quote accurately.

Turn your menu, headcount, and serving plan into a rental list suppliers can quote accurately.

Brief the caterer before the equipment supplier

Start with your menu, expected headcount, serving style, venue facilities, and event duration. Ask your caterer which equipment they supply and which items you need to arrange. This helps avoid renting the same items twice or discovering that a necessary accessory is outside the quote. Equipment requirements should be confirmed by the people preparing and serving the food.

Separate preparation, service, and dining

  • Preparation: ask the caterer about workspace, appliances, power or fuel arrangements, and any specialist equipment.

  • Service: list serving vessels, trays, utensils, dispensers, service tables, and any agreed temperature-control equipment.

  • Dining: record crockery, cutlery, glassware, linen, and seating quantities.

  • Returns: agree how items are counted, packed, cleaned, and collected.

Specify items precisely

Send a written list with quantities and any required dimensions, capacity, material, or finish. Where equipment uses power or fuel, ask the supplier and venue what connections, consumables, operating arrangements, and trained support are required. Do not assume a photograph identifies everything included. Ask whether lids, stands, cables, serving accessories, and transport containers are part of the rental.

Check the full rental terms

Request a quote that separates rental, transport, loading or unloading, setup, cleaning, collection, and other charges. Confirm the period the items may stay at the venue, the deposit, cancellation rules, missing-item and breakage charges, and the timing of any deposit refund. Ask how changes to headcount or quantities are handled and whether substitutions require your agreement.

Keep one return checklist

Give the caterer, event coordinator, and supplier the same item-and-quantity list. Check deliveries against it and document existing damage with the supplier. Identify who is responsible for cleaning, packing, and signing off collection. Prices and availability depend on the actual brief; confirm them directly rather than treating a general article as a quote.
